British University Vietnam (BUV) is the first and only international university in Vietnam to directly award British degrees from the prestigious University of London and other UK universities. POSITION PURPOSE
This position plays a vital role in supporting the student recruitment process by ensuring smooth operational workflows, accurate data management, and timely coordination across departments. By streamlining systems and enhancing the applicant experience, this role directly contributes to meeting enrollment targets and improving overall recruitment efficiency
AREAS OF RESPONSIBILITY
Administrative & Operational Support
- Maintain accurate and updated applicant records and databases (CRM and spreadsheets). Ensuring that student recruitment staff understand and effectively use the CRM to fully record student application information.
- Support the student recruitment team in guiding and assisting students with completing enrollment forms and basic admission procedures. Monitor application timelines and follow up with applicants on missing documents or deadlines.
- Assist the scholarship review committee with general administrative tasks (collecting and reviewing documents, schedule interviews, recording and delivering results, and updating information for internal departments).
- Liaison & Coordination: Act as a point of contact between student recruitment team and internal departments (finance, academic)
Reporting & Data Management
- Generate regular reports to provide timely alerts regarding commitment levels, student entry qualifications, number of applications by major, payment progress, and financial aid fund status.
Event Management
- Coordinate email campaigns or SMS reminders to prospective students.
- Help organize and participate in recruitment fairs, school visits, or webinars.
- Support the logistics of open days, workshops, webinars, and student welcome events.
- Coordinate registrations, attendance tracking, and post-event feedback.
Quality Control & Process Improvement
- Assist in reviewing and refining workflows to improve efficiency and applicant experience. Collect feedback from applicants to help improve the admissions process.
- Collaborate closely with the ICT team to develop a roadmap for automating student application management on the CRM.
POSITION SPECIFICATIONS
COMPETENCIES (knowledge, skills, and abilities)
Bachelor’s degree in Business Administration or equivalent.
- Extensive experience in the area admin and operation management from a multi-national organization
- Excellent English and Vietnamese verbal and written communication skills
- Excel skills, including pivot tables, Python, data validation, and dashboard creation
- Strong experience in data entry, management, and reporting
- High attention to detail and accuracy in handling large volumes of data
- Familiarity with CRM systems or student information systems
