The Event & Operations Officer ensures the smooth operation of school facilities and organizes high-quality internal and external events. The role also includes providing basic IT support for school systems and events. The ideal candidate is organized, detail-oriented, and capable of managing operations and events in a fast-paced international school environment.
Key Responsibilities
Operations Support
Coordinate with facilities, security, housekeeping, and cafeteria teams to maintain efficient daily campus operations.
Support scheduling, logistics, and administrative tasks for meetings, school visits, and campus activities.
Maintain accurate records of contracts, operational documentation, and assets.
Provide basic IT support for staff, students, and systems (e.g., troubleshooting minor hardware or software issues).
Event Management
Plan and execute school events (e.g., open days, graduations, cultural celebrations, sports days, and parent-teacher meetings) from planning to post-event evaluation.
Manage event logistics, including vendor coordination, permits, materials, catering, and A/V setup.
Work with academic and marketing teams to align event objectives with the school’s vision.
Ensure smooth on-site event execution and resolve any arising issues promptly.
Develop event timelines, budgets, and post-event reports to identify areas for improvement.
IT Support for Events & Operations
Ensure the setup and functionality of IT systems during events (e.g., audio-visual equipment, digital presentations).
Provide basic troubleshooting during school operations and events (e.g., Wi-Fi, projectors, microphones).
Liaise with the IT department or external IT vendors for more complex technical issues.
Communication & Reporting
Act as a bridge between operations, academic departments, and other teams for cohesive collaboration.
Prepare reports on event outcomes, operational efficiency, and areas for improvement.
Ensure all activities comply with school safety and child protection regulations.

Qualifications & Requirements
Education & Experience
Bachelor’s degree in Event Management, Business Administration, Hospitality, or a related field.
2–3 years of experience in event coordination, operations, or office administration, preferably in an international or educational setting.
Skills & Competencies
Strong organizational and multitasking skills with keen attention to detail.
Proficiency in Microsoft Office Suite and familiarity with event management tools.
Basic IT troubleshooting skills (e.g., setting up A/V equipment, resolving minor software/hardware issues).
Excellent interpersonal and communication skills in English (written and verbal).
Proactive, solution-oriented mindset with the ability to manage multiple priorities effectively.
Flexible to work during evenings and weekends.
Preferred Attributes
Experience working in a school or educational institution.
Familiarity with health and safety regulations for events and operations.
Cultural sensitivity and the ability to work in a diverse, international environment.
