Your role
The Student Activities & Project Assistant supports the Student Life Department at RMIT Vietnam’s Saigon South campus across three key areas: Communications (social and digital media), Student Activities & Events, and the Student Club Program. This role helps coordinate and deliver events (including evenings and weekends), manages communication calendars and digital content, and supports club operations and logistics. Strong organization, flexibility, and teamwork are essential to succeed in this student-focused role. The position requires strong organizational skills, adaptability, and a collaborative mindset to effectively support a wide range of student-focused initiatives.

Indirectly reports to: Activities and Events Coordinator, Student Life and Student Digital Experience Engagement Officer, Student Life
Key Accountabilities
Communications (Social & Digital Media ): Coordinate Student Life’s communication calendar; ensuring the timely publication of approved content and coordination across relevant teams. Develop and design engaging content for Student Life channels, including weekly activity highlights while also providing media support through capturing and posting photo and video content at Student Life-led events. Manage student inquiries on social media and liaise with stakeholders to deliver prompt and accurate responses.
Event planning, logistics, and execution: Assist in the planning, preparation, and on-site execution of Student Life-led events, including coordination with relevant departments, volunteers, and vendors to ensure smooth operations.
Club Program Operation & Club-led events: Assist in the administration and logistics of club events (Level 2 & 3), including document processing (FSRF, RA, OHS, guest lists) and sponsorship disbursement tracking; Coordinate on-site support for club-led events, especially those occurring in the evenings or on weekends, ensuring smooth operations under Student Club Activities Officer supervision.
Administrative tasks: Support event paperwork, reimbursements, and sponsorship documentation. Assist with supplier coordination, including system registration, purchasing, and tracking deliveries and required paperwork.
Meetings and general support: Take notes and support documentation during meetings, while assisting senior staff with other assigned tasks as needed.
Key Selection Criteria
Bachelor’s degree in a relevant discipline.
Prior experience in event logistics support, procurement of event items, and administrative tasks. Experience working in an event agency is a significant advantage.
Well-developed interpersonal skills including coordination, liaison, and cross-cultural communication, both written and spoken, in English and Vietnamese, across a broad range of stakeholders.
Strong planning, organizational, analytical, and problem-solving skills, with the ability to work independently or as part of a team.
Attention to detail, high level of accuracy and security when managing information.
Demonstrated knowledge and experience with computer software and platforms, including databases, spreadsheets, presentation software, apps and social media.
Proven ability to manage multiple tasks, prioritize effectively, and meet changing deadlines.
Proficiency in design tools (Ai, Ps, Adobe, Canva) is an asset.

English Proficiency
English is the language of teaching and communication at RMIT Vietnam. For this role, the minimum requirement is IELTS General 6.0 (or equivalent Linguaskill 160).
