JOB DESCRIPTION
Job Summary:
The Secretariat and Administrative Support Executive will provide high-quality administrative, secretarial, and general office support to ensure the efficient operation of the office. The role requires strong organizational skills, attention to detail, and the ability to manage multiple tasks in a fast-paced environment. This position also plays a key role in supporting team communication, record keeping, liaison with internal and external contacts, logistical arrangements, and front-office functions.
Key Responsibilities:
Business Analytic:
• Conducting research and compiling data about customer and industry trends
• Analyzing data to identify patterns and inconsistencies
• Supporting the business development team in developing business plans and strategies
• Helping the marketing team create new advertising materials
• Helping BD team preparing business proposal.
Administrative Support Executive:
• Provide administrative support to senior staff and departmental teams.
• Draft, format, and manage correspondence, reports, and other documents.
• Organize and coordinate meetings and ensure timely follow-up on action items.
• Maintain effective document and filing systems (both digital and physical).
• Manage calendars, schedules, and appointments.
• Assist in the preparation and coordination of events, workshops, or conferences.
• Liaise with internal and external stakeholders on behalf of the team or office.
• Ensure confidentiality and security of sensitive information.
• Perform data entry and maintain up-to-date contact databases and mailing lists.
• Support travel arrangements, including itineraries and expense claims.
• Act as the first point of contact for office visitors and phone inquiries.
• Manage office supplies, inventory, and stationery; place orders as needed.
• Support the day-to-day operations of the office
• Monitor office equipment and coordinate repairs or service as required.
• Ensure a clean, organized, and welcoming office environment.
• Undertake other duties as required to support the department’s objectives.
JOB REQUIREMENTS
Education: A relevant bachelor's degree in business, management, office administration, or communication
Experience: Proven experience in office management or administrative support at least 2 years
Technical Skills: Strong knowledge of MS Office and basic computer skills
Organizational Skills: Strong organizational skills to manage multiple tasks and maintain orderly systems
Communication Skills: Excellent verbal and written communication skill
Problem-Solving: Proactive approach to problem-solving
Positive Attitude: Maintaining a positive and can-do attitude, even in challenging situations
